Behind the Scenes in Ottawa: A Full-Scale 8-Hour Live Stream Production

Live Stream Production by Spence Media Group

On November 4th, 2025, Spence Media Group delivered a full-day 8-hour live stream production in Ottawa, supporting a hybrid event that brought together over 400 in-person attendees and more than 100 virtual audience members across Canada and beyond. Our team spent three full days onsite—setup, event day, and tear down—ensuring a seamless, professional broadcast experience from start to finish.

This project showcased the full strength of SMG’s multi-camera video production, live streaming, hybrid event management, and post-production editing capabilities.

A Multi-Camera Production Built for Impact

To capture every moment with clarity and cinematic precision, we deployed a three-camera setup:

  • Two PTZ cameras for smooth, remote-controlled movement and dynamic stage coverage
  • One dedicated interview camera used to capture 11 professional interviews throughout the day

This combination allowed us to create a polished, broadcast-level live stream experience with fluid angles, tight shots, and wide context when needed.

Professional Audio for Both Stage & Studio

High-quality audio is the backbone of any successful live stream. For this event, we implemented a full audio ecosystem:

  • 1 lectern microphone
  • 4 wireless handheld microphones for panellists and presenters
  • 2 audience microphones for Q&A interaction

Interview Audio

  • A boom microphone was used to capture clean dialogue and natural room ambience, helping us create immersive, documentary-style interview segments.
  • All microphones were mixed live to ensure crystal-clear sound for both in-person attendees and the virtual audience.

Presentation, Projection & Live Integration

A major component of the event involved integrating multiple presentation elements in real-time:

  • We operated all PowerPoint decks throughout the day.
  • Presenters were also given a wireless click-through device, allowing them full control of their slides.
  • The content fed directly into the main projectors and a confidence monitor, giving speakers real-time visibility of their slides.

On the live stream, viewers saw:

  • Live camera feeds
  • Presentation slides
  • Picture-in-picture layouts
  • Remote presenters joining via Zoom
  • Real-time switching and transitions

Everything was synchronized for a clean, professional hybrid event experience.

Seamless Hybrid Integration with Remote Presenters

Several speakers joined remotely through a dedicated Zoom connection. Our setup ensured:

  • Remote presenters appeared on the projector screens in the venue
  • Virtual viewers saw the same high-quality feed
  • Remote speakers could see and hear the stage presenters and panels, creating a fully interactive hybrid environment

This level of integration required careful routing, live audio management, and multi-feed coordination—handled entirely by our production team.

Three Days of On-Site Work: Setup • Production • Tear down

A project of this scale requires planning and precision. Our team was onsite for:

Day 1 — Setup

  • Full equipment load-in
  • Camera placement and rigging
  • Audio testing and microphone calibration
  • Zoom integration and display testing
  • Lighting adjustments
  • Presentation mapping and operator workflow setup
  • Full technical rehearsal

Day 2 — Live Production

  • 8-hour multi-camera live stream
  • Real-time audio mixing and switching
  • Interview recording
  • Presentation operation
  • Zoom integration
  • Live troubleshooting and support

Teardown

  • Complete equipment breakdown
  • Data backup and offloading
  • Secure transfer of all video and audio assets

Post-Production: Polishing the Story

Following the event, our team produced a fully polished version of the live stream, enhancing the playback with:

  • Clean cuts and transitions
  • Corrected audio levels
  • Graphic overlays
  • Titles and lower thirds
  • Integrated interview segments
  • Colour correction and visual refinement

The result: a final playback that is more engaging, more accessible, and more informative than the original live broadcast.
